Digital HACCP: a complete guide for restaurants
What to record, how often, and how to make checks provable without adding work to the shift.

Going digital is not about technology: it is about being able to prove, at any time, that the checks in your plan were actually performed. A binder filled in at night, all in the same pen, proves the opposite.
What to record every day
- Fridge, freezer and display temperatures at the frequency set by the plan
- Goods-in: temperature, integrity, batch and supplier
- Cooking, blast chilling and regeneration where applicable
- Cleaning and sanitising per area and equipment
- Non-conformities found and corrective actions applied
The rule that changes everything: record in the moment
A record counts when it carries who, when and where. In a digital system author and timestamp are automatic: whoever checks the fridge opens the task on their phone, enters the value and closes it. If the value is out of limit, the system opens the non-conformity instead of leaving it to memory.
Frequencies: do not copy them from others
Frequencies are not a universal standard: they come from your own hazard analysis. A pastry lab with daily blast chilling has different needs from a bar that only serves drinks. The plan defines, the software executes.
The non-conformity cycle
- Detection: the out-of-limit value is recorded, with a photo where useful
- Corrective action: product discarded, temperature restored, technician called
- Verification: you confirm the action worked
- Closure: the non-conformity stays in history with all evidence
What to show during an inspection
You need one document per site and period: records in chronological order, photo evidence and corrective actions. A report generated in a minute replaces searching through binders.
How to start without disrupting service
- Digitise temperatures first: the most frequent and simplest check
- Add cleaning and goods-in after two weeks
- Train staff on the floor during a shift, not in a classroom
- Generate the first period report and check an outsider can read it
FAQ
Do I still need paper logs?
If digital records are complete, retained and retrievable, duplicating on paper is only extra work. Confirm the requirement with your consultant before dropping paper.
What if there is no signal in the cold room?
Enter records where you have signal, right after the check: what matters is that the real time of the check is stated and consistent.
